Why do clients suddenly ask for e-invoices?
EU countries are replacing PDF invoices with structured e-invoices:
- Germany: all businesses must be able to receive e-invoices since January 2025. Sending becomes mandatory from 2027 (turnover above €800k) and 2028 (everyone).
- Belgium: structured B2B e-invoices are mandatory since January 2026.
- France: the e-invoicing reform starts September 2026.
- Poland: KSeF is mandatory for B2B since 2026.
Even if the rules do not apply to you as a foreign supplier, your client's accounting department may still need a machine-readable invoice. A plain PDF from Word or Google Docs is not an e-invoice.
Formats
- XRechnung
- The German e-invoice standard (XML). Required for German public-sector clients, widely used in B2B.
- ZUGFeRD / Factur-X
- A normal-looking PDF with the invoice data embedded as XML. Accepted in Germany and France.
- Peppol UBL
- Used in Belgium and across the Peppol network. Coming soon.
